RE:  Monthly CUPW/Management Meeting

 

-         Confirmed minutes for July and August U/M meeting have been distributed.

 

 

YDC Unfinished Business  

 

1)     Restructure update

 

-         Union: PDM Report has errors.

Management:  will correct and resend.

-         Restructure implementation date will change to, October 20, 2008.

 

Union:  PDM report can be used ongoing for annual leave relief monthly bidding to assist them in selecting their tours.

 

Management:  Update PDM file might be a challenge since the file is manually created and maintained. We will consider Union’s suggestion.

 

2)     Reading Order Books

 

Union:  Shift 1 supervisors have been telling employees to read the Order Book on their own time. Group 1 employees should be allowed time to read the order book during their shift.

 

Management:  Confirmed that Group 1 employees are also entitled time to read the order book during their shift. We will review the issue with all supervisors and arrange employees to have time to read the order book during their shift. The arrangement will be based on operational requirement. All employees are given 2.2 minutes to read the Order Book.

 

3)     Change to P/U information not being entered

 

Union:  Request to change P/U information is not being entered when raised by the drivers to supervisors.

 

Management:  Requests must be initiated by the customer who needs to call the 1-888 customer service number to complete in order for the request to be reflected in SAP. Drivers are provided notice cards regarding this process since the first day of the new CPU program implemented last year. Whenever possible, supervisors will advise the customer to make the call.

 

4)     PO4 Staffing on nights

 

Union:  There are quite a few long term absences not being backfilled for the past few months on night shift.

 

Management:  During the summer months we were able to achieve processing goals with the available staff without backfilling the LTA. Starting in September all LTA’s have been backfilled to provide sufficient staff to process during busy season.

 

5)     Group 2 PT MSC’s

 

Union:  Flex drivers are continuously having to work more than his/her shift.  Work assignment is not in accordance to appendix “S”.

 

Management:  We will monitor the loads on flex tours so they don’t exceed 8 hours of work. When there are extra parcels in the loop we will also ensure topping up the regular tours first before going to the flex.

 

6)     Truck Cleaning

 

Union:  There is still issue with fleet cleaning at YDC.

 

Management:  Exterior power wash is done weekly on weekends. Interior cleaning is done bi-monthly to quarterly. Next interior cleaning has been scheduled to Oct 18 – 19 and Nov 1 – 2.

 

7)     Clauses 9.04, 9.05, 9.07, 9.08

 

Union:  On night shift YDC sometimes don’t have shop steward on shift. Suggest providing employees alternative contact at 280 Progress. Supervisors also need to be given the contact since they will be the ones who will notify night shift supervisor at 280 of granting leave for 280 shop stewards to represent YDC employees.

 

Management:  We will discuss with 280 Progress management and arrange alternative contact.

 

8)     Appendix DD Training

 

Union:  No one from YDC attended Appendix DD training.

 

Management:  The training is organized by regional Learning and Development Institute (LDI). Locally we didn’t receive any notice of Appendix DD training. We will get some clarification on their deployment plan and schedules.

 

9)     West Hill RPO Carding Issue

 

Union:  Any update since Aug meeting?

 

Management:  We have not received any updated from RMO. We will follow up and provide update in the next U/M meeting.

 

 

New Business

 

Relief Schedules

 

Union: It seems no 8:30 relief was staffed since Joe retired.

 

Management: We have one 8:30 relief on modified duties and one LTS. Have backfilled the position. No staffing concern.

 

Union: Should have 4 8:30 start according to position list. Position 83054597, 83054598, 83054594 and 83083689.

 

Management: Only two of those positions are 8:30 start, the rest 2 are 12:00 – 20:00 relief. We will provide position numbers and schedules to Union.

 

Union: Suggest Management review the current relief time frame and include any proposed changes in the Restructure consultation.

 

Management: Agreed.

 

Follow Up: Management has reviewed the current relief time frame. There will be no change in the current schedules in the restructure.

 

Concern On Security

 

Union: In light of the recent shooting incident at Lawrence & Midland, there is lack of lock down procedures at YDC facility and other station facilities. Should establish lock down procedures and improve facility security.

 

Management: Will raise the issue to OHSE and Corporate Security and provide update.

 

YDC Renovation

 

Management: YDC will start inside renovation starting September 25th. The renovation plan includes expansion of Men’s and Women’s locker rooms, merging of dispatch and financial office, establish training room and boardroom. The floor plan has been reviewed with LJOSH back in May. Project Notification meeting was held with LJOSH representative attendance on Tuesday. Renovation is estimated to last for four weeks.

 

Priority Worldwide Product Launch

 

Management: Priority Worldwide product will be launched on September 29th, 2008. There will be FedEx truck picking up these products at YDC location. It’s a joint business initiative and National Union has been notified. 

 

Union: Didn’t hear from National about this initiative. Require copies of information and communication sent to the Union Local.

 

Management: We will send a copy of the information we received to Local.

 

Union: Will we find such product in SLB? If so how to deal with it?

 

Management: This product will be sold at retail counter and commercial customers. Shouldn’t see them in SLB’s. If it happens we will treat it as exception and report to National for handling instruction.

 

Barchart Review

 

Management: Would like to set up barchart review for next monthly U/M meeting. 

 

Union: Require to receive complete data well in advance for Union review.

 

Management: Data is complete and vetted with Union representative. We will send the complete package to Local by next week.

 

Christmas Consultation

 

Management: Would like to set up Christmas consultation in the next couple weeks. 

 

Union: Tentatively set up for 9:00 on September 30, 2008. (Later confirmed date of October 1st, 2008, same time same place)

 

 

The next monthly consultation will be at 9 am on October 15th, 2008 at 280 Progress.
